Please review and familiarize yourself with our camp policies below. By completing a camp registration, you are agreeing to these policies.
Cancellations
All camp registrations must be paid in full (or with installment arrangements to pay in full) to secure your spot at camp. All cancellation requests must be sent in writing to the registration office at info@royalsoccer.com.
- All cancellation requests will be subject to a non-refundable $60 administration fee per camper.
- If written cancellation is received by the registration office at least 14 days PRIOR to start of the camp week, a refund (less the non-refundable $60 admin fee per child) will be provided.
- If written cancellation is made to the registration office within 14 days of camp starting, consideration will only be given to either switching weeks OR a camp credit.
- No refunds will be provided once camp has started for any reason.
- There are no refunds given due to bad weather.
- Any changes to your registered weeks of camp (i.e. switch to another week) are subject to a $10 fee per occurrence.
- All credit card payments are subject to a non-refundable 2.5% processing fee.
Programming
Royal City Soccer Club reserves the right to change or update our policies, terms and conditions and/or programming as needed as a result of (but not limited to) Ministry of Health or health professionals making recommendations and/or changes to the COVID-19 and infectious disease guidelines and vaccination policies prior to and/or during the summer or other factors affecting indoor /outdoor venue availability.
Camp Ball & Shirt
Campers will only receive 1 camp soccer ball and 1 t-shirt. If a camper attends 5 or more weeks of camp, they will receive a second ball and t-shirt during their fifth week of camp.
Lost/Stolen items Policy
RCSC, it’s staff, and/or members cannot be held responsible for lost, damaged or stolen belongings including clothing, soccer balls and electronics. Campers are encouraged to leave valuable items at home and refrain from bringing them to camp.
Inclement weather / Indoor Facility
Our camp is run primarily outdoors, however, during inclement weather (rain, extreme heat, etc.), our camp will go indoors or take shelter temporarily in a designated area until the inclement weather clears, subject to facility availability. If it’s a light mist, activities will most likely continue outdoors as scheduled. In some locations and on some occasions, a school bus (or equivalent) may be required to bus campers and staff to a nearby indoor facility. Supervisors will do their best to notify parents in advance if we need to bus campers offsite temporarily or for the day. Programmed activities may be modified to suit the indoor facility used. Please note, there are no refunds due to inclement weather.
In the event that Public Health restrictions due to COVID-19 (or other infectious diseases) prevent our camp from securing an indoor facility during inclement weather during your week of camp, then we’ll advise you of your options in advance.
Afternoon swim
Enjoying a leisure fun swim during the afternoon is regularly a part of our camp program. The afternoon swim and facility use are subject to local and provincial regulations and as such, may not be open and/or available for use some or most weeks. If your camper(s) is registered for full day sessions and wishes to participate in the leisure swim, your camper(s) may be required to pass a swim test conducted by pool lifeguards. If your camper(s) does not pass the swim test, this may limit their swim time OR require them to sit on the nearby pool deck (or other area) supervised by camp staff. Registrant acknowledges that RCSC, volunteers, and campers are required to follow the pool or recreation facility rules and regulations. Some locations do not swim every day. There are no refunds due to limited (or no) swimming.
Extended before & after care hours
We offer low cost extended care hours for before and after care. Our before-care option (drop off from 8:00-8:30am) is available for $20 per camper, per week. Our after-care option (for morning sessions, pick up is from 12:30-1pm or for full day sessions pick up is from 4:30-5pm) is available for $20 per camper per week. If you would like both the before and after care option, the cost is $30 per camper per week. The before and after care service is a weekly fee and does not change regardless of how many days that week you wish to use the service. Pro-rated refunds will not be provided for days where the services were not used.
Late pick up
Our camp days can be very long with our campers and staff, so we ask parents/guardians to make sure they pick-up their camper(s) no later than 5pm (for full day sessions if you’ve purchased the after care extended hours). Any pickup after 5pm will be subject to an onsite charge of $15 per 15 minutes, paid directly to onsite camp staff. We also reserve the right to ask you to withdraw from camp for multiple late pick-up occurrences past 5pm.
Sign in/out procedure
During your online registration process, you’ll be asked to list the name(s) of authorized people to drop off and/or pick up your camper. If your camper(s) is not being signed in by a parent/guardian daily, a Sign in/out release form must be completed. This form is available during the online registration process.
Anti-bullying policy
We are committed to providing a caring, friendly, and safe environment for all participants. Bullying of any kind will not be tolerated at our camps. We reserve the right to remove a camper from camp if we deem the behaviour to be inappropriate. Refunds will only be provided as determined by a member of the camp administrative team.
Aggressive & abusive behaviour
Aggressive and abusive behaviour or comments against staff, volunteers, campers and/or other guests will not be tolerated. Anyone exhibiting this behaviour will be asked to leave camp and not welcome to return.
Nut Policy
We strive to maintain a nut-free camp and ask that you refrain from sending peanut or nut products to camp.
Service/Support Animals and Personal Support Workers
We welcome campers of all abilities to camp. For campers who will be accompanied by a service/support animal, we ask that you advise us at Head Office via email info@royalsoccer.com in advance to be sure that the camp staff, as well as our facility partners, for your camp location are made aware.
We try our best to accommodate the special needs of campers where we can. As the facilities we utilize vary by location, and may not be suitable for all, please contact our Head Office in advance and we can review your camper’s needs. Please note that we are not able to offer one-on-one assistance/supervision for campers. If your camper needs one-on-one assistance/supervision, we are happy to welcome a personal support worker (arranged by the camp family or guardian), or a parent or guardian to camp.
Transportation
Royal City Soccer Club does not offer a pick-up or drop-off service to or from camp.
At some locations, there may be the need for the campers and staff to travel offsite to another venue (swim facility, indoor facility or other) because of inclement weather or facility availability. By registering for camp, you give permission to RCSC, its employees and volunteers to arrange for and facilitate bussing camper(s) to or from venues, when necessary. If camp must travel offsite for any reason, we will arrange bussing and your onsite Supervisor will notify you.
Medical/EpiPen form
For any medical issues or life-threatening allergies, please complete the Medical/EpiPen form available during the online registration process.
No Waiting list
Although we do not offer a waiting list for any of our camp locations, if registering for multiple weeks or multiple family members and a desired week is unavailable, please contact the Registration Office at 1-800-427-0536.
Method of payment
We accept the following major credit cards: VISA, VISA Debit, MasterCard, and American Express. All credit card payments are subject to a non-refundable 2.5% service fee. Personal Cheques will not be accepted as payment for registration fees. Cheques will only be accepted from pre-approved Subsidies and Organizations.
Feedback Process
Royal City Soccer Club welcomes feedback on how we provide customer service. Customer feedback will help us identify barriers and respond to concerns. Customers who wish to provide feedback on the way Royal City Soccer Club provides goods, services or facilities to people with disabilities can provide feedback in the following way(s): email, phone, in person (either at our office or camp locations), mail, or other forms of communication as needed. All feedback, including complaints concerns, will be addressed on an individual basis by our Director of Operations. Customers can expect a reply to their concern within two business days. Royal City Soccer Club will make sure our feedback process is accessible to people with disabilities by providing or arranging for accessible formats and communication supports, on request.
Photos & Video waiver & release
By registering for camp, you acknowledge that camp photos and video taken at soccer camp remain the sole property of such, and that they may be used in future and current print and online marketing campaigns including our website. You agree that RCSC can collect, use, disclose and store personal information for purposes of grouping campers, collecting/processing payments, and email, mail, or other digital and social media promotional/marketing materials.

Royal City Soccer Club is committed to providing accessible services that allow persons with disabilities to participate in camp activities wherever possible. We’re committed to compliance with the Accessibility Standards for Customer Service and the Accessibility for Ontarians with Disabilities Act, 2005 (AODA). Royal City Soccer Club is committed to excellence in serving all customers including people with disabilities. Privacy Policy
RCSC is committed to keeping the personal information of our campers, families, and clients accurate, confidential, secure, and private. Our Privacy Policy has been designed to inform families, clients, staff, and third parties of RCSC of our commitment and recognition to meet the terms of the Personal Information Protection & Electronic Documents Act (PIPEDA, January 1, 2004).
Consent to Use Personal Information
We may obtain your express consent to use personal information, or we may determine that consent has been implied by the circumstances. Consent could be in writing such as: signed registration form, signed medical or EpiPen forms, submitted e-forms online, or verbally in person or over the telephone.
